At Beetle Creative, we have a few fundamental principles:

  • We aim to make it as simple as possible for you to request we delete data.
  • We help protect you from overreaching government demands for your personal information.
  • We aim for full transparency on how we gather, use, and share your personal information.

Below is our Privacy Policy, which incorporates and clarifies these principles.

What this policy covers:

This Privacy Policy applies to information that we collect about you when you:

  • Use our website;
  • Contact us via email or contact form;
  • Work with us / engage in conversation with us (via email, contact form, phone, or social media)

Below we explain how we collect, use, and share information about you, along with the choices that you have with respect to that information.

Information we collect:

We only collect information about you if we have a reason to do so–for example, to respond to a contact form enquiry, to communicate with you about on-going work, and to update you on work until its completion.

We collect information in three ways: if and when you provide information to us, automatically through using our website, or after contacting us via contact form or email. Let’s go over the information that we collect.

Information you provide to us:

We collect information that you optionally provide to us for only as long as necessary. The amount and type of information depends on the context and how we use the information. Here are some examples:

Cookies: Although our site uses cookies, we at Beetle Creative do not actively utilise these cookies in any way. Our site, however, is run via WordPress who have their own Cookie Policy – find out more about WordPress’s cookie usage by viewing their Cookie Policy: automattic.com/cookies.

Contact Form Information: If you contact us via our contact form, we collect the information that you provided in that form submission. For example, if you input an email address for us to reply to you with, as well as your personal name or business name, we keep that data only for as long as it is necessary in order to reply to you and converse. It will also be stored with our secure mail server for up to 60 days unless you request it’s deletion.

Invoicing & Payment: If we provide a service to you and you provide payment for that service after receiving an invoice –’service’ referring to any design or creative work provided by Beetle Creative –  you will provide additional personal and payment information that is required to process the transaction and your payment, such as your name, credit or debit card information, and contact information. Only the information collected for a legally binding quote and invoice is stored with us for that current tax year. 

Communications with us elsewhere (Hi There!): You may also provide us information when you respond to our content online via social media like Facebook and Instagram. The only information we store from these interactions are your name and contact details if you provide them with intent for us to respond to you.

Information we collect automatically:

Contact Form Information: If you contact us via our contact form, the information you provide to us in collected automatically and stored via our mail server for up to 60 days. We will only keep this data longer if it is necessary – eg, we are already in conversation about an upcoming project. The contact form we use is the Contact 7 plugin for WordPress. This plugin does not: track users by stealth; write any user personal data to the database; send any data to external servers; use cookies. Email: If you email us at hello@beetlecreative.co.uk or helen@beetlecreative.co.uk we automatically collect your email address and the name(s) you have associated with that account within our mail server. We use a secure mail server which stores emails for up to 60 days unless we decide, or you request, to delete them sooner.

Phone: If you have called us the number you have used is stored on our mobile device for up to 30 days unless we decide or you request for us to delete it sooner. If we are conversing with you via phone we may keep the number only for as long as necessary to continue the conversation.

Cookies & Other Technologies: A cookie is a string of information that a website stores on a visitor’s computer, and that the visitor’s browser provides to the website each time the visitor returns. At Beetle Creative we currently do not actively utilise these cookies in any way, however our website is run via WordPress who have their own privacy and cookies policy. How and why we use information:

We use the information provided to us to communicate with you: mostly via email, but we may contact you by phone if you have given us permission to do so. We want to talk to you about any potential projects, questions and queries you have in mind, and converse with you regularly whilst we work with you providing updates and getting your feedback.

Legal bases for collecting and using information:

A note here for those in the European Union about our legal grounds for processing information about you under EU data protection laws, which is that our use of your information is based on the grounds that:

(1) The use is necessary in order to fulfill our commitments to you under the applicable terms of service or other agreements with you or is necessary to administer your account — for example, in order to enable access to our website on your device or provide a legal quote or  invoice; or

(2) The use is necessary for compliance with a legal obligation; or

(3) We have a legitimate interest in using your information — for example, to safeguard our website and to communicate with you; or

(4) You have given us your consent — for example before we place certain cookies on your device and access and analyze them later on, as described in our Cookie Policy.

Sharing information

We do not sell our users’ private personal information.

Employees: Currently Beetle Creative is made up of two employees; both employees have access to any shared or collected data the business may have.

How long we keep information for:

We generally discard information about you when we no longer need the information for the purposes for which we collect and use it — which are described in the section above on How and Why We Use Information — and we are not legally required to continue to keep it.

Security:

While no online service is 100% secure, we make every effort to protect any information we may have against unauthorized access, use, alteration, or destruction, and take reasonable measures to do so, such as using secure mail servers, secure web hosting, and secure mobile networks.

Choices:

You have several choices available when it comes to information about you:

Limit The Information You Provide: If you are worried about your information then can opt to share only the information that makes you comfortable when contacting us via email or contact form, or when providing payment information. Please note that you are still legally required to pay us in the event that we have completed a service you have asked for, and we will need payment information to process the invoices and transactions involved.

Set Your Browser to Reject Cookies: Beetle Creative do not currently utilise any cookies automatically stored. However, our website is run via WordPress. At this time, Automattic (owner of WordPress) does not respond to “do not track” signals across all of their services. However, you can usually choose to set your browser to remove or reject browser cookies before using Automattic’s websites, with the drawback that certain features of Automattic’s websites may not function properly without the aid of cookies.

Ask Us to Delete Information: If you believe we have any of your personal information stored and don’t want us to keep it for any longer, contact us via our email or contact form and ask us to delete the information; we will be legally required to do.

Your rights:

If you are located in certain countries, including those that fall under the scope of the European General Data Protection Regulation (AKA the “GDPR”), data protection laws give you rights with respect to your personal data, subject to any exemptions provided by the law, including the rights to:

  • Request access to your personal data;
  • Request correction or deletion of your personal data;
  • Object to our use and processing of your personal data;
  • Request that we limit our use and processing of your personal data; and
  • Request portability of your personal data.

EU individuals also have the right to make a complaint to a government supervisory authority.
